A product sample gives you a chance to review details before a larger production run. To make that review useful, compare the sample against a written specification rather than relying on memory or a general impression.
Check the product against the brief
Review dimensions, materials, colour, finish, function, labels, and packaging. Where a measurement matters, record it. For items with multiple components, check that the parts fit together and that the sample represents the intended finished product.
Record changes clearly
Collect feedback from the people who need to approve the item, then send one consolidated list of requested changes. Photos with notes, marked drawings, or a numbered checklist can reduce confusion. Confirm which points are required and which are preferences.
Approve a specific version
Keep a dated record of the approved sample and its specifications. If another revision is made, review and document that version separately. Discuss with the supplier how the approved reference will be used during production and inspection.
Approval should confirm what will be made, not just that a sample has been received. A careful sample review helps align expectations before time and materials are committed to an order.
