Quality expectations are easier to meet when they are agreed before production begins. A practical checklist turns broad requirements into points that can be observed, measured, and recorded.

Separate critical requirements from preferences

Identify the characteristics that affect safety, fit, function, or compliance. Then note visual preferences and acceptable variation. Clear priorities help both your team and the supplier focus on the requirements that matter most.

Make checks objective where possible

Use dimensions, material descriptions, colour references, functional tests, packaging instructions, and approved samples. State how a check should be performed and what result is acceptable. Avoid vague instructions such as “good quality” without an example or measurable standard.

Agree when checks will happen

Discuss whether checks occur during production, before packing, or at another agreed point. Decide how findings will be documented and who will review them. For higher-risk orders, consider whether an independent inspection is appropriate.

Keep the checklist with the current specification and order documents. If the product changes, update the reference so everyone is working from the same requirements.
